You’ll still be working with the same great team. The only change is the system you log into (plus some great new features).This FAQ article answers common questions about your upgrade so you know what to expect and how to get started confidently. Why We’re MovingThe new screening platform isn’t just a new interface, it’s a smarter platform built for modern hiring. With a personalised dashboard, real-time updates, and expanded screening options, the new screening platform helps your team: Work faster: Order, track, and manage checks in real time. Collaborate easily: Share tasks, group cases by department, and log decisions for audits. Access more checks: From identity and education verification to global watchlists, you now have access to 4x more checks than before. Stay compliant: InterCheck Global Pty Ltd is an accredited body with the ACIC, with ISO 27001 and SOC 2 certifications, plus multi-factor authentication (MFA) to help protect sensitive data at every login. Migration Timing & RequirementsWhen will I need to upgrade?Migration will happen in stages. You’ll receive an email invitation when it’s time, with instructions to log in and set a new password. InterCheck will remain available in read-only mode for three months after your migration, giving you access to your historical records. Why do I have to upgrade?The new screening platform is the next generation of background screening, designed to help Australian businesses move faster, stay compliant, and deliver a better experience for everyone involved. This isn’t just a fresh interface. It’s a smarter, more flexible platform that puts the right tools and checks in your hands.What do I need to do to get set up?Not much! Your account, groups (formerly departments), users, and billing details will carry over automatically. Once you receive your invitation email, you just need to: Log in at https://client.certn.co/au. Set a new password. Review and agree to the Terms and Conditions. Review your billing info, payment method, and contacts. Use the guides to familiarise yourself with the platform and begin screening. How long will it take to set up my account, and will there be any downtime during the transition?Your account will be ready to use as soon as you receive your email invite. You will then be able to log in and begin ordering checks right away. There will be no downtime during the transition, and you will have seamless access to the new platform.Data & AccessWhere will my data be stored?The new screening platform is built with compliance and security at its core. All data is stored according to industry-standard security standards and applicable data protection laws. Orders completed by InterCheck on the new screening platform will be stored in Australia and subject to Australian privacy laws.If fulfilment must occur outside of the originating region, only the minimum necessary data will be securely shared with the fulfilment region.Example: If a Canadian Criminal Record Check (CCRC) is required as part of a screening process, the CCRC must be run from within Canada. In this case, only the minimum necessary data will be shared with Canada, even if the order was initiated in Australia. All other information connected to the order will remain stored on Australian servers. What data will be migrated?To make the migration process as seamless as possible, your organisation’s account-related information will be automatically migrated including: Client account details: (name, address, ABN, contacts) Departments:If you had "departments" configured on InterCheck, they will all have been configured as "groups" on the new screening platform. Users: (names, emails, permission levels)Department-based permissions are honoured: users will see only their equivalent group in the new screening platform. Billing details: (pricing, billing contacts, invoicing setup) NCCHC details: Registration details needed to enable NCCHC checks. The following information will not be migrated: Applicant data will not be included in this migration. This includes, but is not limited to: Applicant records Completed and in-progress background checks Reports or documentation generated as part of the screening process Will I still have access to the InterCheck platform?Yes. InterCheck will be available in read-only mode for three months after your migration. You’ll still see that checks were run but won’t be able to open reports once the archive period begins.How do I access completed reports?During the three month read only period, you can download any reports you need to keep. After that, reports will no longer be viewable.Do roles and permissions need to be re-set up? Roles and permissions will be mapped as closely as possible to what you already have, so re-setting them up is not required. For details on reviewing or changing user access, review our Certn Help article on user permissions. Are there changes to the login process? You’ll continue to use your existing email address to log into the new platform, but you’ll need to set a new password the first time you sign in. If you’ve bookmarked or saved your old account URL, be sure to update it to the new login page: https://client.certn.co/au. From there, simply enter your email and create your new password to get started.Is security different or stronger in the new screening platform?InterCheck Global Pty Ltd is an accredited body with the ACIC to access the National Police Checking Service. All data is domiciled in Australia, with access restricted via user configuration and IP address to ensure compliance with the NPCS.We also hold ISO 27001 and SOC 2 certifications for our new screening platform, in addition to Multi-Factor Authentication (MFA). MFA adds an extra layer of verification during login, requiring users to confirm their identity with a second step beyond a password. Even if a password is compromised, access is still blocked without the second factor making breaches significantly harder.Is the platform compliant with Australian Privacy laws?Yes. The new screening platform has been built to comply with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This means: Data storage: Personal information is stored securely and in compliance with Australian requirements. Data use: Information is only collected, used, and disclosed for the purposes of providing background screening services that you and your candidates have authorised. Consent: Candidates provide explicit consent before their information is collected or verified. Access & correction: Individuals have the right to request access to, or correction of, their personal information. Security: We apply strong technical and organisational safeguards to protect personal data against loss, misuse, or unauthorised access. We also review our policies and systems regularly to ensure ongoing compliance with Australian regulations, as well as alignment with international privacy and data protection best practices.Checks What will happen to in-flight checks?Any in-progress checks will continue to process and deliver results within the InterCheck platform. Results will remain accessible in InterCheck during the 3 month read-only period.Will I still be able to run Nationally Coordinated Criminal History Checks (NCCHC)?Yes. Your existing credentials to access the National police Checking Service will carry over automatically. The new screening platform also improves the NCCHC experience with an improved applicant experience, real-time ID validation, and automatic visa collection for non-Australian citizens.Why can’t I log a new case on my InterCheck account?Once your account is migrated, new checks must be run in the new screening platform. This ensures you benefit from the new dashboard, workflows, and expanded check catalog. After your move to the new screening platform, you'll retain visibility of all historical records and any checks that were underway at the time of migration for three months.Credits & PricingWill check prices be the same?Yes. Your InterCheck pricing carries over. You may see small changes in how line items are displayed on invoices, but overall prices remain unchanged.Do I need to sign a new contract or amendment?You will not need to sign a new Terms of Use agreement to access the National Police Checking Service and you will be able to continue to request NCCHCs under this existing agreement on the new screening platform. You will, however, need to review and accept the new platform Terms & Conditions as part of getting set up.Are there any fees to upgrade?No, there are no fees to complete the upgrade. Everything you need to get started on the new screening platform is included at no extra cost.Will processing times or the way candidates complete their checks change?Service levels and turnaround times will remain the same or be faster and you’ll also see a number of improvements. The new screening platform brings more checks together in one place, including education, employment, global watchlists, and PEPs, giving you opportunities for a more robust background screening program. The smarter dashboard uses task-based workflows to reduce manual follow-ups, while flexible billing makes it easier to manage cases, contacts, and payments. Candidates will also enjoy a faster, smoother experience with fewer delays, real-time ID validation, and clear branded communications.What support materials are available?You can view our get started guide to help you get started confidently.
