Submitting "portal" checks with the updated check purpose fields 12 April 2023 20:09 Updated We've had to make some changes to the information we collect for the 'check purpose'. These changes are minor, however they will impact how you submit a portal check. Here's how these changes will look in your portal. This page will cover... Submitting a new "portal" check Providing the applicant's signed consent form Submitting "portal" checks If you use our "portal" check method to submit police checks, there will be some minor changes to the information we collect. If you select the 'standard' check type, you will also need to select a 'check category'. The options will be: Employment, for paid employment or paid contract work Licence, for licence applications or accreditation Other (Position of Trust / Probity), for any other purpose where the applicant needs to represent themselves as a fit and proper person, e.g. Board Members, Home Stay Hosts, etc If you have selected 'volunteer' check you will not need to select a 'check category' and this field will be hidden When completing the applicant's check purpose the fields will be slightly different. Firstly, you will no longer be required to indicate the applicant's level of contact with vulnerable groups. The police checking services have removed this requirement as it is no longer relevant when assessing which information is released on a police check certificate. Secondly, the "role" and "place of work" requirements have been separated into two fields. Thirdly, you will need to provide both the 'location, town or city' and the 'state / territory'where the applicant will be hold the relevant position. You will notice that the check purpose headings will change depending on the check type and category selected. These dynamic labels will help ensure we are collecting the right information for each check type/category. See the relevant headings for each check type below. Note! There are also some changes to the information we can accept for the check purpose: We can no longer accept the 'industry' and will need to know the name of the company / organisation the applicant will be working for or the entity who has requested the check If you are a recruitment company, you can provide your company name in the 'place of work' field, e.g. Nurse in Aged Care, XYZ Recruitment Company, Sydney, NSW If the applicant will hold the position overseas, please enter the 'State / Territory' as 'other' and provide the relevant country in the 'Location / Town / City' field If the applicant will be working across states / territories and/or cities, please input the state / territory and city where the company is based Providing the applicant's signed consent form You will still be able to choose between the two consent forms available in the business portal, however, there will be slight changes to both forms. Auto-generated "short" consent form: If you're using the short consent form to collect the applicant's consent, after completing the applicant's details you will need to download their consent form.The consent form will include the updated check purpose fields, including: the role, position title, licence type or reason for conducting the police check, the place of work, company/organisation name, issuing authority or relevant requesting organisation, the state / territory where the applicant will hold the position, and the location, town or city where the applicant will hold the position Application & Informed Consent Form ("long"): If you use the 'Application & Informed Consent Form' to collect the applicant's personal information and consent prior to submitting the check, you will need to ensure you are using the most up to date version. Once these changes are live, the updated consent form will be available from the 'Resources'section of your business portal. In section B1 of the form the applicant will need to provide: the role, position title, licence type or reason for conducting the police check, the place of work, company/organisation name, issuing authority or relevant requesting organisation, the state / territory where the applicant will hold the position, and the location, town or city where the applicant will hold the position Tip! If you know what the applicant will be doing or if all of your applicant's will have the same check purpose, you can pre-fill this section before having the applicant complete the form In addition to the check purpose changes, there are also some changes to section E of the consent form. In the updated form you will also be able to indicate when a change of name / marriage certificate has been provided and when special provisions has been applied.
