Submitting police check "invites" with the updated check purpose fields 12 April 2023 19:55 Updated We've had to make some changes to the information we collect for the 'check purpose'. These changes are minor, however they will impact various areas of the portal. Here's how these changes will look in your portal. This page will cover... Submitting "invite" checks Submitting "batch invite" checks Submitting "invites" using our 'invitation link' feature Changes to the application form Submitting "invite" checks If you use our "single invite" method, there will be some changes to the information we collect. If you select the 'standard' check type, you will also need to select a 'check category'. The options will be: Employment, for paid employment or paid contract work Licence, for licence applications or accreditation Other (Position of Trust / Probity), for any other purpose where the applicant needs to represent themselves as a fit and proper person, e.g. Board Members, Home Stay Hosts, etc. If you are submitting a 'volunteer' check you will not need to select a check category and this field will be hidden You will then have the option to pre-fill the applicant's check purpose, however, these fields have slightly changed Firstly, you will no longer be required to indicate the applicant's level of contact with vulnerable groups. The police checking services have removed this requirement as it is no longer relevant when assessing which information is released on a police check certificate. Secondly, the "role" and "place of work" requirements have been separated into two fields. You can choose to pre-fill only one of these fields, both of these fields or neither field. Note! There are also some changes to the information we can accept for the check purpose: We can no longer accept the 'industry' and will need to know the name of the company / organisation the applicant will be working for or the entity who has requested the check If you are a recruitment company, you can provide your company name in the 'place of work' field, e.g. Nurse in Aged Care, XYZ Recruitment Company You will notice that the check purpose labels will change depending on the check type and category selected. These dynamic labels will help ensure we are collecting the right information for each application Standard Employment check purpose labels: Standard Licence check purpose labels: Standard Other (Position of Trust / Probity) check purpose labels: Volunteer check purpose labels: As part of the new check purpose requirements we will also need to collect both the location/city and the state/territory where the applicant will be hold the relevant position. This information will need to be provided by the applicant when they complete the application form. Please see relevant changes to the application form below. Submitting "batch invite" checks These changes will also apply to the "batch invite" method. When sending out your "batch invites", if you select 'standard' check you will need to also select a 'check category'. The options will be: Employment, for paid employment or paid contract work Licence, for licence applications or accreditation Other (Position of Trust / Probity), for any other purpose where the applicant needs to represent themselves as a fit and proper person, e.g. Board Members, Home Stay Hosts, etc. Note, you can only choose one check type (standard, volunteer) and one check category (employment, licence, other) within a single batch upload When you download the 'batch invite template' you will see that both the column headings and examples have changed. The new column headings will be labelled: Role / Licence / Reason for Check Place of Work / Issuing Authority When you upload your file, the check purpose fields will be reflected in the 'Applicant Details'table When the applicant completes their application, all relevant fields will be pre-filled Submitting "invites" using our 'invitation link' feature For customers who are using our "invitation link" feature, these check purpose changes will also apply.
