How to Lodge a Police Check on an Applicant's Behalf 04 July 2023 02:10 Updated This article provides instructions on how to submit a "portal check" on behalf of an applicant. This feature is only available for select businesses.To learn how to submit an "Invited Check", see here. To start your “Portal Check", click New Check and Start a New Police Check from the left-hand sidebar. Next, select 'Portal Check'. Input all of the check details, including the: Check Type (standard, volunteer) If you select standard, you must select a Check Category (employment, licence, other/position of trust) Department (if departments have been set up) Applicant’s Name and any Previous Names Applicant’s Date of Birth Applicant’s Gender Applicant’s Country of Birth (if Australia, provide the suburb and state/territory) Applicant’s last five years of Addresses Applicant’s Contact Number (optional) Applicant’s Drivers and/or Firearms Licence Numbers (if the applicant has a licence you must provide this) The Purpose for conducting the police check (please find detailed instructions for the purpose fields here) Once you have provided the required information, click Save. Scroll to the bottom of the page and click Ready to Submit. Please review the information and make sure all of the applicant’s details have been entered correctly. If any information needs updating, click Modify. After you have reviewed all the information, please upload the applicant's signed consent form and the required identity documents. For more information on business consent forms please see below For more information on the Minimum IDs requirements click here Once you have uploaded the applicant’s consent form and identity documents, click Submit to InterCheck. Once you have confirmed all the information provided is correct and have provided the necessary IDs, please click 'Submit to InterCheck'. Once submitted, you will be able to monitor the progress of the application from the 'Manage Checks' tab. Where to locate applicant consent forms When submitting a “portal check” on behalf of an applicant, you will need to provide their signed consent to submit the police check on their behalf. There are two types of consent form that can be used: The Auto-Generated “short” Consent Form The Application and Informed Consent Form (”long”) Auto-generated “short” consent form This consent form is good to use if you can complete all of the applicant’s details of the “portal check” form without requesting them from the applicant. Once you have completed the “portal check” form, click Download Consent Form The one-page form will be generated with the information you have provided The applicant will need to sign and date the form You can then upload the consent form, along with their identity documents The Application and Informed Consent Form (”long”) This consent form is good to use if you need to collect the applicant details before you can start completing the “portal check” form online. This form can be located in the business portal, under Help > Resource Library Download the Application and Consent Form We recommend prefilling any information you can before providing it to your applicant, including: The Legal Entity Customer details (this is your business’ details, page 3) The Purpose information in Section B1 (page 5) The Check Type in Section C (page 5) The Legal Entity Customer details in Section D1 (page 5) Once the applicant has completed the remaining fields, you will need to complete Section E and make note of the IDs you will upload along with the consent form and sign and date the consent form Some customers also find it helpful to highlight the fields that the applicant will need to complete before providing them with the form Related articles How to Send Police Checks "Invites" Comments 0 comments Article is closed for comments.
